How we help

Pick the job that eats your week. We take it off your desk.

Most of what slows a business of 5 to 50 people is the same few jobs: answering customers, retyping paperwork, chasing quotes and invoices, and hunting for files. We set AI up around how you already work, train your people on it, and when nothing off the shelf fits, John builds what is missing. You start with one job, and it is working in days or weeks, not months.

Sound familiar?

If two of these are true, we should talk.

Each of those is a job that can run without you standing over it. Here is how we take them off your desk, one at a time.

Probably not a fit: you want an AI to run the business on its own, or you are a large company with an IT department of its own. We work with businesses of about 5 to 50 people.

What we take off your desk

One job at a time. You pick the first.

Answer every customer

A question comes in Friday night. Somebody sees it Monday.

Calls, web forms, texts and emails get a fast, correct answer at any hour, from your own information. The real requests land in one list for your staff, with the details already gathered. Anything that commits the business waits for your OK.

What you notice firstMonday starts with one list of real requests, details gathered, instead of a pile of missed messages.

See one way this looks →

Get the paperwork off your desk

One person reads, sorts and retypes everything that arrives.

Forms, scans, emails and phone photos are read, filed in the right place, and the details typed into your system for you, with the original attached so anyone can check it. Anything unclear goes to a person instead of a guess.

What you notice firstThe pile on the desk turns into a short list of things to check.

Keep the money moving

The job is done. The quote, the invoice or the follow-up is not.

Quotes, estimates, invoices, reminders and follow-ups are drafted the same day from your own prices and records, and go out when you approve them. Nothing sits until someone finds a free evening.

What you notice firstQuotes and invoices are waiting for your OK the same day, not next weekend.

Find it in seconds

The answer is in a folder, an old email or one person's head.

Your procedures, past jobs, price lists and files become searchable in plain English, so staff stop interrupting the one person who knows. The right people see the right things, and nothing private lands on the wrong desk.

What you notice firstStaff find the answer themselves instead of waiting on the one person who knows.

Get your team using the AI you already pay for

You pay for ChatGPT, Claude, Copilot or Gemini. It writes the occasional email.

We set up the tool you already have, write the plain-English rules for what it may and may not do, and train your staff on their own real work, role by role. Independent: we do not resell any of them.

What you notice firstPeople use it on their real work every week, not just for the odd email.

Custom builds

When nothing off the shelf fits, we build it.

Nothing off the shelf fits, so the business runs on workarounds.

Custom apps for a business of about 5 to 50 people, built by the person you talk to. We keep what already works, connect it first, replace only what needs replacing, and build the part that does not exist yet.

What we can build

Your programs, connected

Email, calendar, QuickBooks, Microsoft 365 or Google talking to each other, so nobody types the same thing twice.

The spreadsheet, replaced

The aging database or the spreadsheet holding the company together, rebuilt as a simple app that is easy to use and easy to fix.

One list for every request

Calls, texts, emails and web forms in one place, with the AI drafting the reply or the quote for you to approve.

Quoting and scheduling

Built around your price sheet, your calendar and your crew, so a request becomes a booked job without retyping.

A portal for your customers

Customers check a status, send documents or pick a time without calling the office.

An assistant that knows your business

Staff ask in plain English and get answers from your own procedures, price lists and past jobs. When it does not know, it says so.

Reports that build themselves

The numbers you check every Monday on one screen, updated on their own, without anyone pulling them together.

Apps for the crew in the field

Check-ins, photos, checklists and sign-offs from a phone, landing straight in the office system.

Not sure it needs building? The free Workflow Review tells you plainly whether to build it, buy something that already exists, or leave it alone. How custom builds run →

The deal

Small, fixed, and yours.

What you can count on, in writing, before any work starts.

Free to find out

The first conversation and the Workflow Review cost nothing. You leave with a written answer, even when the answer is no.

A price in writing first

Every job is scoped and priced before work starts, for a business of about 5 to 50 people. The price you agree to is the price you pay.

Live in days or weeks

One job at a time, with working software you can try along the way. The written review gives you the real date before anything starts.

The person you talk to builds it

John scopes it, builds it, trains your people and picks up when something needs fixing. No account managers, no hand-offs.

You own what we build

The code, the accounts and the data are yours. If we part ways, everything stays with you.

AI only, next to your IT company

We resell no AI tool and sell no managed IT. Your IT company keeps your network and computers, and we do the AI.

You stay in charge

AI proposes. You decide.

Every job the AI does goes in one of four piles, and we sort them with you before anything is built. Every yes is saved: who approved what, and when.

  1. LookRead, search, summarize. The AI does these on its own.
  2. DraftWrite the reply, fill in the form, build the quote. A person presses send.
  3. Ask firstAnything that leaves the building or changes a commitment waits for a yes.
  4. NeverDeleting records, moving money, changing passwords. No setting turns these on.

Before you book

Questions owners ask before the first call.

What happens in the free Workflow Review?

Forty-five minutes with John, at your office or online, on how the work really moves: who does what, where it waits and where the hours go. Within 48 hours you get a written answer, worth doing or not, and why. If a cheaper tool or a simple change fixes it, the answer says so.

What does it cost?

The review is free. After that, each job gets a scope and a fixed price in writing before any work starts, priced for a business of about 5 to 50 people. Monthly support runs month to month, with no long contract.

Do we have to buy new software?

Usually not. We set up what you already pay for first, like your email, calendar, Microsoft 365 or Google, QuickBooks and the AI tool you have. If something is truly missing, we build only that part, and you own it.

We already have an IT company. Do we need to switch?

No. We do AI only. Your IT company keeps your network and computers, and we work alongside them.

Is it safe to put our business information into AI?

It can be, when it is set up right: business plans that do not train on your data, written rules for what staff may paste in, and a person approving anything that goes to a customer. Every approval is saved with who approved it and when.

How long does one job take?

Days or weeks, not months. The written review gives you the real date for your job before anything starts. Bigger work becomes a custom build in fixed-price phases, each agreed in writing and each ending with working software you can use.

What happens after the first job is live?

The thirty days after launch are for adjustments, included. After that it is your call: John can look after it month to month and add the next job when the first one has earned it. No lock-in.

About Applied AI Technology

Applied AI Technology helps businesses of about 5 to 50 people put AI to work on real jobs: setting up Claude, Copilot or ChatGPT and training the team role by role, an AI front desk that answers customers on the website, and the paperwork taken off the desk. When nothing off the shelf fits, we build it: custom apps and connections between the programs a business already uses, like email, calendar and QuickBooks. The person you talk to is the person who builds it. We keep what already works, connect it first, and build only the part that does not exist yet, in fixed-price phases agreed in writing with working software at the end of each one. The client owns the code, the accounts and the data. A person approves anything customer-facing before it goes out, and we work alongside the client's IT company: AI only, never managed IT. Based in Scranton, Pennsylvania, working with businesses across Northeastern Pennsylvania and the United States. Founded and led by John E. Martines. Free companion library: Applied AI Insider (books, guides, and a daily AI brief).
